As the chief executive officer of a multinational organization, it is your task to take care of sensitive documents. Only last year you had requisitioned and purchased a couple of paper shredder machines. After the vital documents that were issued to the members of the staff were read and done over with, they were supposed to be fed into the paper shredder and shredded beyond reconstruction.
This was perfectly fine as long as paper documents were concerned, what about the main files that were used to print out these physical copies? The main files were in .pdf format and were issued from the head office. It was your duty to ensure that these pdf files were stored in a safe location where others could not access them. You are sure about yourself, but what about the new secretary?
She has a sharp brain on her shoulders and she is always cribbing about the low salary she is receiving. She can always copy the pdf files from your PC and sell them for a handsome sum to your competitors. But you have no reason to worry at all. You were smart enough to invest in popular copy protection software and ensure that the pdf files that you receive from the head office are first protected with it and then loaded on the server.
This ensures that any copies made from the same would not be useable. This DRM software uses certain algorithms to ensure that the pdf file can only be read on the PC where the software licensed to you is installed. People can read it on the monitor but if they try to copy it, the resultant copy will be full of junk. These software do not cost much money are a real blessing in disguise. They protect the pdf files encrypted with them from being copied.
And that is not enough. You had just found out another nifty setting in the same. With just a few commands, the file could not be viewed on the server too. The moment one tries to view the same, they are told to enter a password. No password, no viewing. With more and more files being created and stored in the electronic format, it is extremely vital to have software that that cloak them with copy protection.
While the paper shredder is fine for damaging hard copy beyond reconstruction, the protection software does not damage the electronic file. It just reconstructs the bits and bytes in the file so that only the person providing the correct password has access to it. Unless your secretary knows the password she can never view that important document.
